How to Update, Archive or Unarchive Products

Keeping a product catalogue up-to-date ensures suppliers provide accurate information to pharmacy customers and minimise ordering errors.

As a supplier you have the option to update a single product or bulk update your product catalogue.

To edit an Individual Product:

1. Navigate to Manage products in the left-hand sidebar.

2. Click the Action button (three vertical dots) for the product you wish to edit.

4. The product review window will open – Please take time to review and edit the product details displayed on screen.

5. Select Save changes once completed.


To bulk update your Product Catalogue:

  1. Download the CSV template:

    • Navigate to the Products section from the sidebar and select Add New.

      In the pop-up dialog, click the Get a template button to download the CSV template.

  2. Open and edit the CSV template using your preferred editor:

    • Complete the template by filling in the required details for each product.

    • Click here for more guidance on completing the product details accurately.

  3. Save the file:

    • Ensure the file is saved in the .CSV format.

    • Double-check for missing values, formatting errors and invalid characters proceeding with the upload.

  4. Navigate to the Products section from the sidebar and select Add New.

5. Click the Import CSV button located on the right side of the dialog box:

6. On the next page, click the Add CSV file + button to proceed:

7. Select the CSV file you wish to upload.

8. On the next page, tick the option to Overwrite products.

9. Click the Upload and Review button.

10. Carefully review the product details on the review page.

  • Check for common errors, such as:

    • Missing or incorrect headings

    • Missing columns

    • Incorrect values entered

    • Exceeding character limits

11. To edit a product before publishing, click the Action button (three vertical dots) located on the right-hand side.

12. If you are satisfied with all the product details, click the Publish x products button (where X is the total number of products uploaded).

13. Once published, the products will be updated in your product catalogue.

To Archive a Product:

Archiving products is a practical solution to remove these products from active listings without permanently deleting them and losing historical data. Products can be archived and unarchived at any time.

  1. Navigate to the Products section from the sidebar and select Manage Products.

  2. Find the required product(s) by using either:

    1. Filters:

      1. Click on the “All” or “Active” filter buttons located above the product list.

      2. Once filtered, browse through the returned list to find the required product(s).

    2. The Search Bar:

      1. Click on the Search products bar positioned on the right-hand side of the product management dashboard.

      2. Type the product name (or other relevant information) into the search bar and press Enter.

      3. Browse through the returned list to find the required product(s).

  3. To archive the required product, click on the Action button (three vertical dots) and click on the Archive button.

  4. The status of the product will be updated to 'Archived'.

To Unarchive a Product:

  1. Navigate to the Products section from the sidebar and select Manage Products.

  2. Find the required product(s) by using either:

    1. Filters:

      1. Click on the “All” or “Archived” filter buttons located above the product list.

      2. Once filtered, browse through the returned list to find the required product(s).

    2. The Search Bar:

      1. Click on the Search products bar positioned on the right-hand side of the product management dashboard.

      2. Type the product name (or other relevant information) into the search bar and press Enter.

      3. Browse through the returned list to find the required product(s).

  3. To archive the required product, click on the Action button (three vertical dots) and click on the Unarchive button.

  4. The status of the product will be updated to 'Active'.
